The CFCA Annual Conference has experienced remarkable growth, with attendance from both fire chiefs and vendors increasing exponentially. While we have secured larger venues for future years to accommodate this momentum, the 2026 Annual Conference is subject to existing contract capacities. Booth space is assigned by CalChiefs staff.

*Booth attendants should not be considered complimentary attendees unless they are registered separately. Booth attendants are meant to staff the company’s booth and will not be permitted into sessions.

PLEASE NOTE:

• All attendants and displays must remain in the footprint of the assigned booth space and not spill into neighboring booths
• All complimentary registrations and booth personnel must be registered by the posted registration deadline. A $25 fee will be applied to any complimentary registrations completed onsite at the event.
• A limited number of rig spots may be available on a first come first service basis. Please contact elizabethcardwell@calchiefs.org for more information.

Heritage will provide all exhibitor services in the exhibit hall including booth equipment outside of what is provided as part of the rental fee, rental furnishings, freight and material handling, labor, custom display rentals, and sign producing and hanging capabilities. Each vendor will be sent a complete exhibitor package.

All exhibit booths must remain intact for the full duration of the tradeshow. CFCA reserves to right to refuse future exhibit registrations from exhibitors that breakdown their booths early.

All sponsorship and exhibit booth payments must be received no later than September 30, 2026. Sponsorships and Exhibit Booth that are not paid by September 30, 2026 may be cancelled.

All complimentary registrations associated with sponsorships, must be registered no later than September 30, 2026. There will not be an opportunity for complimentary registrants to join onsite in 2026.

Logo Specifications:
You must adhere to the following specification for your logo or ad to be accepted by the CalChiefs Design department. You may not alter the dimensions.

Logo: You must send your logo in an EPS or AI vector format. If you do not have an EPS version of your logo, please ensure what you send is high-resolution transparent PNG or PDF. Logos pulled from websites are not suitable for printing. Your ad must be in the requested dimensions (no rotating) and sent as a 300dpi PDF.

**To ensure all conference materials arrive in time for the Cal Chiefs Conference, all Logo and Ad submissions completed after the Friday, September 25, 2026 deadline will be at risk of being removed from all printed materials.

CONFIRMATION LETTERS

Within 5 days of your sponsorship and/or exhibitor booth registration, staff will reach out to provide finalized confirmation of the sponsorship and/or exhibitor booth. All necessary information you will need to prepare for the conference will be provided within the confirmation letter, along with submission links for all materials that CFCA requires.

COMPANY REPRESENTATIVES   

Complimentary company representatives are included in all sponsor and exhibitor opportunities, quantity dependent on level of participation. All company representatives are to be registered for attendance through the attendee portal using a promo code that will be provided in all confirmation letters. Attendee registrations can be transferred to another representative within the company but cannot be transferred to an individual outside of the designated company.

Additional company representatives that exceed the amount of complimentary registrations included in your sponsorship and/or exhibitor booth are to be paid for using the "Additional Booth Worker" ticket available in the attendee registration portal. All attendee registrations must be submitted no later than Wednesday, September 30, 2026.

IMPORTANT! PLEASE NOTE: All complimentary registrations must be pre-registered for the conference. Onsite registration for complimentary attendees will not be allowed. Substitutions made onsite are acceptable.

CANCELLATION POLICY

Booth and sponsorship cancellation notices must be made IN WRITING and received by CalChiefs no later than Wednesday, September 30, 2026. All cancellations received on or by Wednesday,  September 30, 2026 will be refunded with a 25% cancellation fee. There will be no refunds for cancellations made after Wednesday,  September 30, 2026. Attendee registrations can be transferred to another representative within the company but cannot be transferred to an individual outside of the designated company. We, at CalChiefs, value the integrity and values of our organization above all else. As such, CalChiefs' management reserves the right to prohibit, reject, or eject any exhibitor, exhibitor’s representatives, or exhibit in whole or part, with or without giving cause. If cause is not given, CalChiefs’ liability shall not exceed the return to the exhibiting company of the rental unearned at the time of ejection.
